In one sentence: Actaria has no internet access, so it cannot send anyone the audio of your meetings, their transcript or their minutes; everything stays on your phone.

What data we collect

None. There are no accounts, no sign-up, no analytics, no advertising and no automatic crash reports.

You do not have to take our word for it: Actaria does not request the internet permission. You can check this on the Google Play listing and in your phone settings. Without that permission, the operating system prevents it from sending anything anywhere.

What the app stores, and where

In the app's private storage, which only the app can reach: the audio of the meetings you record or import, their transcript, the draft minutes, the meeting details you type (body, place, attendees, agenda) and your settings.

It is deleted when you delete the meeting, when you use "Delete all meetings" or when you uninstall the app.

Transcription and minutes are produced inside the phone, by models that run on it. None of it goes through any server, ours or anyone else's.

Android backup

Actaria's data is excluded from Android backup and from transfers to a new phone. Recordings contain other people's voices and we prefer that they never leave your phone. If you change phones, export the minutes you want to keep first.

When something leaves the phone

Only when you share it: when you export minutes as PDF, Word or text, or the transcript, you choose which app to share it with (email, messaging, cloud storage…). From then on, that file is governed by the terms of the app you choose.

That is why Actaria's Data safety section on Google Play declares the content you export as "shared", even though Actaria collects no data: the file goes from Actaria to another app on your own phone, and only when you ask.

The models

The models that understand speech and draft the minutes are downloaded by Google Play as part of the app, just as it downloads the app itself. Actaria does not connect anywhere to get them.

Permissions the app uses, and why

Microphone: to record the meetings you start, even with the screen off, until you tap Stop. While recording, Android shows the microphone indicator and an ongoing notification.

Notifications: to show that you are recording, the transcription progress and when the minutes are ready.

Keeping the phone awake and foreground services: so that recording and transcription continue with the screen off.

Internet access: NOT requested.

Location, contacts, camera and access to your photos or files are not requested. To import audio, you pick the file in the system picker or share it from another app.

Recording other people

A meeting has more participants than you. Before each recording, the app asks you to confirm that you have told the attendees. Ensuring they know and, where the law requires it, obtaining their consent is the responsibility of the person recording. Exported minutes include the statement "Meeting recorded with the knowledge of those present".

Artificial intelligence

The minutes are a draft written by a language model that runs on your phone. They may contain mistakes: each item links to the moment in the recording it comes from so you can check it, and items that could not be checked are marked. Exported documents state that they are an AI-generated draft.

Children

Actaria is intended for adults and is not designed for children under 18.

Changes to this policy

If a future version changed anything stated here (for example, a feature that needed internet), this page would be updated before release and the change explained in the app itself.
